Japan Society of Private Colleges and Universities of Nursing Personal Information Protection

The Japan Society of Private Colleges and Universities of Nursing (hereinafter referred to as the Corporation) recognizes the importance of personal information and will comply with laws and regulations to ensure its protection; the Corporation declares that this privacy policy will be published and followed.

Use of Personal Information

The Corporation collects and handles personal information on members and employees (hereinafter referred to as “Personal Information”) by appropriate and fair means and to the extent necessary for conducting its business. When collecting Personal Information, the Corporation will clarify the purpose of its use and will not use it other than for that purpose.

How Personal Information Is Managed

In managing Personal Information, the Corporation will appoint a Personal Information management officer for each Personal Information and take necessary measures as appropriate to prevent unauthorized access to the information or the loss, destruction, falsification, or leakage of the information and will take other measures to properly manage Personal Information.

The Corporation will limit the function of machine processing pertaining to Personal Information only to processing necessary to achieve the purpose of collection and will conduct strict management to prevent not only unauthorized external access but also unauthorized use within the Society in particular.

With regard to the Personal Information managed by the Corporation, the Corporation will strive to keep the Personal Information accurate and updated in accordance with the purpose of its use.

Personal Information managed by the Corporation will be promptly discarded or deleted after the purpose of its use has been achieved. Personal Information of persons after withdrawal, resignation, etc., from the Society will be properly managed, stored, and discarded and will not be used for any unjust purpose.

If the Corporation entrusts the handling of Personal Information to a third party, the Corporation will select a third party that is found to be handling Personal Information appropriately and will specify in the entrustment contract, etc., necessary measures for the appropriate management of Personal Information, matters regarding non-disclosure, and other matters regarding the maintenance and management of information.

Personal Information Disclosure, Correction, etc.

When there is a request from a member or employee for the disclosure, etc., of the individual’s own Personal Information, the Corporation will disclose the requested Personal Information without delay; provided, however, that if it is found to be clearly justified not to inform the individual of that which concerns selections, evaluations, determinations, medical care, or other information, all or a part of the Personal Information may not be disclosed.

However, if the personal information relates to the selection, evaluation, judgment, medical treatment, or other matters of an individual, and it is clearly justifiable not to inform the individual, the personal information may not be disclosed in whole or in part.

When there is a request from a member or employee to correct, delete, or cease the use, etc., of the individual’s own Personal Information, the Corporation will investigate without delay. In this case, if it is found that there is an error in the Personal Information pertaining to the request, that its retention period has passed, or that there are other necessary grounds for correction, etc., the Corporation will make the corrections, etc., without delay. 

The Corporation has established a point of contact for responding to inquiries regarding the handling of Personal Information and the procedures, etc., for disclosure, correction, etc.
